Dashboard Overview
The main dashboard gives you a snapshot of your chatbot’s activity and costs.- Total messages — See how many messages your bot handled today, this week, or this month.
- AI cost tracking — Know exactly what you’re spending on AI. The dashboard shows your provider costs in plain dollars (e.g., “$12.40 OpenAI API”) so there are no surprises on your bill.
- Per-message average cost — Understand the unit economics of every conversation. Useful for comparing models or deciding when to upgrade.
- Daily usage chart — A rolling 7-day chart shows traffic patterns at a glance. Spot your busiest days and plan accordingly.
Conversation Analytics
Beyond raw message counts, ReplyBubble measures the quality of your bot’s responses.- Resolution rates — How often does the bot successfully answer a visitor’s question without needing human help? This is your single most important metric for knowledge base quality.
- Satisfaction scores — Visitors can leave feedback after a conversation. You’ll see an aggregate score plus individual ratings so you know where to improve.
- Coverage gaps — ReplyBubble flags questions your knowledge base can’t answer well. These are the conversations where your bot struggled, and they tell you exactly what content to add next.
Automatic Topic Detection
When visitors ask questions your bot can’t handle, those questions don’t just disappear into a log. ReplyBubble groups them for you.- Automatic clustering — Unanswered questions are sorted into topic groups automatically. Instead of reading through hundreds of individual messages, you see patterns like “shipping questions” or “pricing confusion.”
- Spot knowledge gaps at a glance — Topic clusters are ranked by frequency, so you can see which gaps are costing you the most conversations.
- Draft new answers with AI — Click into any topic cluster and ReplyBubble will draft a knowledge base answer for you using AI. Review, edit, and publish in one click.
- Review before publishing — Nothing goes live without your approval. You always have the final say on what your bot tells visitors.
Insights Workflow (Pro)
The Insights page gives you a deeper view of topic clusters with actionable tools. Overview metrics:- KB miss topics — questions your knowledge base couldn’t answer
- Success topics — questions answered well
- Failure topics — questions where the bot struggled
- Average resolution time
- Click Run Analysis to generate fresh topic clusters. There is a cooldown between runs (default 60 minutes) to prevent excessive AI usage.
- Review the topic list. Each topic shows sample questions, conversation count, and status.
- Filter by status: New, Resolved, or Ignored.
- Click into a topic to see representative conversations and a suggested knowledge base answer.
- Click Publish to KB to add the drafted answer directly to your knowledge base.
- Mark topics as resolved or ignored once you’ve addressed them.
Success and Failure Patterns
Beyond individual topics, the Insights page identifies broader patterns:- Success patterns — The types of questions your bot handles well, with conversation counts. Use these to understand your strengths.
- Failure patterns — The types of questions where your bot struggles. These are your highest-priority knowledge base improvements.
Contact Intelligence
Every person who interacts with your chatbot gets a contact profile, built automatically.- Auto-generated summaries — Each contact gets a plain-language summary: what they asked about, how many conversations they’ve had, and what they seem to care about.
- Sentiment tracking — ReplyBubble reads the tone of each conversation and tags contacts as positive, neutral, or negative. Spot frustrated visitors before they churn.
- Lead scoring — The system flags contacts who look like strong leads based on their questions and engagement. Focus your follow-up where it matters.
- Single timeline view — Everything about a contact lives in one place: conversations, form submissions, and any notes you’ve added. No jumping between tabs.

Tips for Getting the Most Out of Analytics
- Check “Unanswered Questions” weekly. This is the fastest way to improve your bot. Even adding two or three new answers a week makes a noticeable difference in resolution rates.
- Use topic clusters to prioritize. Don’t try to fill every gap at once. Start with the topics that come up most often — they’ll have the biggest impact.
- Monitor AI costs to pick the right model. If your per-message cost is higher than you’d like, try switching to a lighter model for simple questions. The dashboard makes it easy to compare.
