ReplyBubble isn’t limited to the chat widget on your site. Connect email, WhatsApp Business, Facebook Messenger, or Instagram DMs, and messages from those channels flow into the same Live Inbox as your widget conversations — with the same AI auto-responses, the same human handoff behavior, and the same contact and analytics data. When a channel is connected, the AI answers inbound messages automatically using your knowledge base and personality settings, exactly as it does in the widget. If a conversation is already assigned to an agent or has been resolved, incoming messages on that thread skip the AI and wait for a human reply. Agents reply to any channel from the same conversation view — there’s no separate “WhatsApp inbox” to check.

Availability by Plan

Free workspaces cannot connect any channel. Pro workspaces can connect up to 2 channels (Email only, since it’s the only channel type available on Pro). Business workspaces get unlimited channel connections across Email, WhatsApp, Messenger, and Instagram. Find every channel under Integrations in the sidebar, grouped under Messaging Channels.

Email Channel (Pro)

Turns a forwarding address into a support inbox. No IMAP/SMTP credentials needed on your side. How it works:
  1. Go to Integrations > Email Channel and click Create Email Inbox.
  2. ReplyBubble generates a unique inbox address ([email protected]).
  3. Set up forwarding from your support address (e.g. [email protected]) to that inbox address using your email provider’s forwarding or mail-routing settings.
  4. Forwarded emails appear as conversations in your unified inbox, and the AI responds automatically based on your knowledge base.
Replies sent from the dashboard go out under the connection’s reply-to address, and follow-up emails from the customer are matched back to the same conversation thread (via reply tokens, thread ID, or the email’s In-Reply-To header). Removing the channel (Remove Email Channel) stops new mail from being processed; you can create a new one later with a fresh inbox address.

WhatsApp Business (Business)

Connects a WhatsApp Business Cloud API number to your inbox. Before you begin, you’ll need:
  • A Meta Business account with WhatsApp Business API access
  • A permanent System User access token with the whatsapp_business_messaging permission
  • Your App Secret from the Meta App Dashboard
  • Your Phone Number ID from the WhatsApp Business settings
How it works:
  1. Go to Integrations > WhatsApp and click Continue past the requirements screen.
  2. Enter your Access Token, App Secret, and Phone Number ID. Credentials are encrypted at rest and never shown again in the dashboard.
  3. Click Connect WhatsApp. ReplyBubble returns a Webhook URL and a Verify Token.
  4. In the Meta App Dashboard, go to WhatsApp > Configuration > Webhook, paste in the webhook URL and verify token, and subscribe to the messages field.
Meta calls the webhook URL with your verify token to complete the handshake; once that succeeds the connection’s status badge flips from Pending to Active. Inbound messages are authenticated via the X-Hub-Signature-256 header against your App Secret, and delivery receipts (sent/delivered/read/failed) update each message automatically. You can rotate the access token, app secret, or Phone Number ID at any time from the connection’s config panel without losing conversation history.

Facebook Messenger (Business)

Before you begin, you’ll need:
  • A Meta Business account with a connected Facebook Page
  • A long-lived Page access token with messaging permissions
  • Your App Secret from the Meta App Dashboard
  • Your Facebook Page ID
How it works:
  1. Go to Integrations > Messenger and click Continue.
  2. Enter your Page Access Token, App Secret, and Page ID.
  3. Click Connect Messenger. ReplyBubble validates the token against the Page ID before saving, and returns a Webhook URL and Verify Token.
  4. In the Meta App Dashboard, go to Messenger > Settings > Webhooks, paste in the webhook URL and verify token, then subscribe to the messages field for your Page.

Instagram DMs (Business)

Same flow as Messenger — Instagram professional accounts messaging runs through the same Meta webhook infrastructure. Before you begin, you’ll need:
  • A Meta Business account with a connected Instagram professional account
  • A long-lived Page access token with messaging permissions
  • Your App Secret from the Meta App Dashboard
  • Your Instagram Account ID
How it works:
  1. Go to Integrations > Instagram and click Continue.
  2. Enter your Page Access Token, App Secret, and Instagram Account ID.
  3. Click Connect Instagram. ReplyBubble returns a Webhook URL and Verify Token.
  4. In the Meta App Dashboard, go to Instagram > Webhooks, paste in the webhook URL and verify token, then subscribe to the messages field for your connected account.
Note: Messenger and Instagram share the same Meta credential shape (Page access token + App Secret + numeric ID) and the same webhook endpoint — only the field labels and subscription tab differ.

Managing Connections

Each connected channel shows a status badge: From a channel’s config panel you can:
  • Update credentials — rotate the access token, app secret, or ID without losing conversation history (WhatsApp, Messenger, Instagram).
  • Disconnect — removes the connection and stops receiving new messages on that channel. Existing conversations and history are kept; you can reconnect later with new credentials.
Deleting a connection requires the Owner role. Creating or updating one requires Owner or Editor.
