ReplyBubble is designed to look and sound like part of your business, not a generic chatbot bolted onto your site. This guide covers everything you can configure.

Chatbot Personality

Tone of Voice

Set the tone your bot uses when talking to visitors. Options include:
  • Professional — clear and businesslike, suitable for B2B or consulting.
  • Casual — relaxed and conversational, good for e-commerce or creative businesses.
  • Friendly — warm and approachable, a natural fit for service businesses.
You can adjust this at any time. Changes take effect immediately — no republishing required. Setup time: under 1 minute.

Bot Roles

Your chatbot can operate as different specialists depending on the situation:

Auto-detect mode lets the bot switch roles automatically based on what the visitor is asking about. A visitor asking “What are your hours?” gets support. A visitor asking “How does pricing work?” gets sales. No manual routing needed.

Honesty Controls

Configure how the bot handles questions it cannot answer confidently:
  • Acknowledge uncertainty. The bot tells the visitor it is not sure and suggests next steps (like contacting you directly).
  • Stay on topic. The bot redirects off-topic questions back to your business.
This keeps your chatbot helpful without making things up.

Widget Appearance

Everything below is configured in your dashboard with a live preview, so you can see exactly how the widget will look before publishing.

Brand Colors

Use the color picker to set your primary widget color. The widget adapts its buttons, header, and accents to match your brand.

Dark Mode

The widget can automatically match your visitor’s system preference (light or dark). You can also force a specific mode if your site has a fixed theme. Setup time: about 2 minutes for all appearance settings.

Custom Branding (Pro)

On the Pro plan and above, you unlock additional branding options:
  • Extended color palette. Go beyond the single primary color — customize header, buttons, and accent elements independently.
  • Custom avatar and icon. Replace the default chat icon with your own logo or image.
  • White-label experience. Combined with badge removal (see below), your widget looks entirely like part of your site.
Free plan users get the color picker and position settings described above. Pro adds the fine-grained controls for teams with brand guidelines.

Removing the badge gives your widget a fully white-labeled look. Toggle it off in your dashboard under Appearance settings.

Greeting & Conversation Starters

Custom Greeting

Set the message visitors see the moment they open the chat widget. Use this to:
  • Welcome visitors by context (“Hi! Looking for help with your order?”)
  • Set expectations (“I can help with pricing, features, and getting started.”)
  • Match your brand voice

Conversation Starters

Add clickable prompts that appear below the greeting. These guide visitors toward your most common topics and reduce the “blank page” problem where people do not know what to ask. Examples:
  • “What does ReplyBubble cost?”
  • “How do I install the widget?”
  • “I need help with my account”
Visitors click a starter, and the conversation begins immediately. This drives engagement and gets visitors to the right answer faster. Auto-generate from Knowledge Base: Click the Generate Suggestions button to have ReplyBubble analyze your knowledge base and suggest conversation starters based on the topics you cover. Review the suggestions, edit as needed, and save. This is a fast way to create relevant starters without writing them from scratch. Setup time: about 2 minutes.

Offline Mode

When your AI provider is temporarily unavailable (API outage, rate limit, or expired key), offline mode provides a fallback experience instead of showing visitors an error. When enabled, the widget displays a decision tree of canned responses that guide visitors through common questions — with zero token cost. Good candidates include business hours, return policies, shipping info, and contact details. See Settings > Offline Mode for the full configuration reference, including the decision tree editor.
